Refund and return policy

Last updated 22nd July 2026

1. Introduction

This Refund and Return Policy outlines the terms and conditions governing refunds for services provided by Incubation Station through our website, https://www.incubationstation.co.za. We understand that circumstances can change, and we aim to be fair and transparent in our dealings. Please read this policy carefully before engaging with our services.

As a provider of digital services and website/app operations, our offerings are intangible. This means there are no physical products to “return” in the traditional sense. Our policy focuses on the provision and quality of the digital services themselves.

2. General Refund Principles

At Incubation Station, we strive to deliver high-quality digital services. Our refund policy reflects the nature of these services. Generally, refunds are considered when there’s a demonstrable failure on our part to provide the service as described, or in specific, limited circumstances outlined below. We don’t offer refunds for simply changing your mind after a service has been rendered or significantly consumed.

3. Your Statutory Rights

Nothing in this policy limits or excludes any rights you have under South African law, including the Consumer Protection Act, 2008 (CPA) and the Electronic Communications and Transactions Act, 2002 (ECTA), to the extent those laws apply to your transaction. In particular:

  • ECTA Cooling-Off: For certain electronic transactions, section 44 of ECTA gives consumers the right to cancel within 7 days of concluding the agreement, without reason or penalty. This cooling-off right does not apply to all transactions — for example, it does not apply to services where performance has begun with your consent, or to certain other categories excluded by ECTA.
  • CPA Quality of Service: Where the CPA applies, you are entitled to services performed in a manner and quality that persons are generally entitled to expect, and to the remedies the CPA provides where this standard is not met.

Where this policy and your statutory rights differ, your statutory rights prevail.

4. Eligibility for Refunds

You may be eligible for a refund from Incubation Station under the following conditions:

  • Service Not Delivered: If a service you paid for was not delivered or made accessible to you as described on https://www.incubationstation.co.za, and we cannot rectify the issue within a reasonable timeframe.
  • Major Technical Defect: If a service provided by Incubation Station has a significant technical defect that prevents its intended use, and our support team cannot resolve it. This doesn’t include minor bugs or compatibility issues with unsupported systems.
  • Unauthorized Charges: In the rare event of an unauthorized charge on your account that you can prove was not initiated by you or anyone with access to your account.
  • Specific Guarantees: If a particular service explicitly comes with a money-back guarantee, and you meet all the conditions specified for that guarantee.

Each refund request is assessed individually. We’ll look at the specific service, the issue, and the terms agreed upon at the time of purchase.

5. Non-Refundable Services and Situations

Certain services and situations are generally not eligible for refunds from Incubation Station. Here’s what you should know:

  • Services Rendered: Once a digital service (e.g., a subscription period has begun, a project milestone is completed, or access to digital content is granted) has been substantially rendered or consumed, it’s typically non-refundable.
  • Change of Mind: We do not offer refunds if you simply change your mind about a service after purchase or decide you no longer need it.
  • Third-Party Costs: Any costs incurred by Incubation Station on your behalf for third-party services (like domain registrations, specific software licenses, or payment processing fees) are non-refundable once those services have been procured.
  • Promotional or Discounted Services: Services purchased during a promotional period or at a discounted rate are often final sale, unless explicitly stated otherwise in the promotion’s terms.
  • Account Suspension/Termination: If your account is suspended or terminated due to a violation of our Terms of Service, any remaining service period or credits are forfeited and non-refundable.

This list isn’t exhaustive, but it covers the most common scenarios where refunds won’t apply.

6. How to Request a Refund

If you believe you are eligible for a refund, you must submit a request to Incubation Station. Here’s the process:

  1. Contact Us: Send an email to [email protected].
  2. Provide Details: Your email must include your full name, the email address associated with your Incubation Station account, the specific service or transaction ID, the date of purchase, and a detailed explanation of why you are requesting a refund.
  3. Include Evidence: Where applicable, provide supporting evidence such as screenshots, error messages, or communication logs that substantiate your claim.
  4. Timeliness: You must report the issue and submit your refund request within 14 days of the incident or purchase date, depending on the nature of the service. This is separate from our own response timeline, set out below. Delays in reporting may affect eligibility.

Our team will review your request and may ask for additional information to help us make an informed decision.

7. Refund Processing and Timelines

Once Incubation Station receives your refund request, we will:

  • Review: Our team will review your request and the provided information. This process can take up to 5 business days.
  • Decision: We will notify you of our decision via email. If approved, we will initiate the refund.
  • Method: Refunds will generally be processed back to the original payment method used for the purchase. We cannot issue refunds to a different card or account.
  • Timeline: Once a refund is approved and initiated, it may take 5 to 10 business days for the funds to appear in your account, depending on your bank or payment processor.

We appreciate your patience during this process. We aim to resolve all legitimate refund requests efficiently.

8. Service Cancellations

For subscription-based services offered by Incubation Station, you can typically cancel your subscription at any time. Here’s what that means for refunds:

  • No Pro-Rata Refunds: If you cancel a subscription, you will not receive a pro-rata refund for the unused portion of your current billing cycle. Your service will remain active until the end of that cycle.
  • Future Billing: Cancellation prevents future recurring charges.
  • Project-Based Work: For custom development or project-based services, cancellation terms will be outlined in your specific service agreement or statement of work. Refunds for such services will adhere to those contractual terms.
  • Hosting Data: If you cancel a hosting service, your hosted data (website files, databases, and email) will be retained for up to 30 days after the service ends. During this period you may request an export of your data at no additional charge beyond reasonable administrative costs. After 30 days, the data may be permanently deleted.
  • Domain Names: Domain names registered in your name remain your property after cancellation of our services, and you may transfer them to another provider. Domain registration and renewal fees already paid to a registry or registrar are non-refundable. It is your responsibility to keep renewals current after leaving our services — lapsed domains may incur redemption fees or be lost.

Please ensure you understand the cancellation terms for the specific service you are using on https://www.incubationstation.co.za.

9. Service Interruptions and Downtime

Digital services, including those provided by Incubation Station, can experience occasional interruptions or downtime due to maintenance, technical issues, or unforeseen circumstances. Here’s our approach:

  • Scheduled Maintenance: Planned downtime for maintenance or upgrades is necessary and will not be grounds for a refund. We typically provide advance notice for such events.
  • Unscheduled Downtime: While rare, unscheduled downtime can occur. If Incubation Station experiences prolonged, significant, and unscheduled service interruption that materially impacts your ability to use a paid service, we may, at our sole discretion, offer a partial credit or refund. This will be assessed on a case-by-case basis.

We work hard to ensure maximum uptime and reliability for all services on https://www.incubationstation.co.za.

10. Policy Abuse and Discretion

Incubation Station reserves the right to refuse a refund if we detect any indication of fraud, abuse of this policy, or attempts to exploit our services. This includes, but is not limited to, repeated refund requests for the same service, attempts to obtain services for free, or misrepresentation of facts.

Subject always to your statutory rights described above, our decisions regarding discretionary refunds are final. We maintain the right to exercise discretion in refund matters to protect the integrity of our services and business operations.

11. Changes to This Policy

Incubation Station may update this Refund and Return Policy from time to time. We’ll post the revised policy on https://www.incubationstation.co.za with an updated “Last Updated” date, and for material changes we will endeavour to provide reasonable advance notice. We encourage you to review this policy periodically to stay informed about our refund practices. Your continued use of our services after any changes indicates your acceptance of the revised policy. Changes will not retroactively affect refund rights for purchases made before the change took effect.

12. Governing Law

This Refund and Return Policy, and any disputes arising from or related to it, will be governed by the laws of the Republic of South Africa, including the Consumer Protection Act, 2008 (Act No. 68 of 2008), to the extent it applies to our services. While Incubation Station operates globally, we encourage amicable resolution of any disagreements. Should a dispute escalate, it shall be subject to the exclusive jurisdiction of the courts of South Africa.
